Role-based management of ELN permissions

Permission Overview

There are four global types of permissions available for the ELN module:

  • Standard user ('Admin' and 'Read only' toggles are disabled) – Relevant for most users.
    Users can create and edit ELN records and entities such as projects, folders, protocols, and experiments.

  • Admin ('Admin' toggle is enabled) – The user can manage the account, invite/lock members, edit inventory settings, and edit all account data. In addition, they are granted 'Can witness', and 'Can approve order' privileges.

  • Can witness (ELN) – Standard user privileges with the ability to witness other users’ experiments, protocols, reports, documents, and SOPs throughout the system.

  • Read Only ('Read only' toggle is enabled) – The user cannot add, remove, or edit data. They can only view the entries they have permission to view.

Guru Tips:

  • Creating, editing, or deleting entities in the inventory, storage, and equipment modules depends on specific permission in each of these modules. To learn more about these permissions, click here.

  • Users with 'Admin' permission will be automatically granted 'Admin' privileges in the inventory, storage, and equipment modules.

  • Users with 'Read only' privilege will automatically have 'view' permissions in the inventory, storage, and equipment modules

Role suggestions

System Admin

When a user is the account owner or assigned with ‘Admin’ permission, he will automatically be an admin in all modules and will have full access to settings and role management.

It is recommended to have at least one 'Admin' on your team with full access to every available permission who will be responsible for controlling the permissions of other members.

Note that Account owner is the highest level of permissions that allows few additional actions such as enabling/disabling project sharing, repository sharing, and support access.

Project Manager
A member who oversees the laboratory projects and activities should have permissions that will allow him to witness experiments, protocols, and documents as well as approve orders submitted via the Shopping List.

Scientist / Analyst
Members who perform day-to-day activities should have a more limited set of permissions. By leaving the 'Admin' and 'Read only' toggles off, the user will be classified as a Standard User which will allow the creation and edition of projects, protocols, and experiments.

Read-only
When a user is assigned with ‘Read-only’ privilege, he will see ELN pages without the ability to perform actions.
