How to utilize Tasks effectively in Labguru

Tasks in Labguru are indispensable tools for organizing your work, prioritizing tasks, and ensuring efficient progress tracking within your lab. Whether managing daily activities, setting reminders, or distributing workload, understanding how and when to use tasks is crucial for maximizing productivity.

Creating a Task

Each task in Labguru is associated with a specific page. A task can be linked to a specific experiment, instrument, stock, etc., or to a more general entity like a folder or project.

To create a task in Labguru, look for the "Tasks" section in your page of interest (In experiments - bottom of the page, inventory/equipment pages - on the right). Simply click 'Add Task' to create a new task in this page.

Fill in the necessary information, such as the task title, due date, and text description.
You can assign the task to yourself or to another team member, and set email notification to be sent at a specific time. When done, click 'Save' to create the task.

When a task is created, it has a status of 'Open' until performed, and gets a 'Completed' status.

Managing Tasks

A member with open or overdue tasks assigned to them, will be notified on Labguru's main page in 'Actions require your attention'.

These notifications are shown regardless of settings email notifications or not.

To manage your task status and see its details, you can either click on the notification boxes, or access the associated page directly. Let's dive into these options:

Managing tasks on the associated Labguru page

Once a task is created, it will appear in the task section of the page. There, other tasks associated with the same page are shown as well, divided by assignee. Click on each assignee's name to see the details of their tasks.

From there, you can mark tasks as completed, edit their details by clicking on the task name, or delete tasks if needed.

Once a task is marked as 'Completed', it will no longer appear on the associated page.

Tasks index page

All past and current tasks can also be managed from the Tasks index page.

Here are some ways to access this page:

  1. Click on the Tasks notification boxes on Labguru's main page.

  2. In the Tasks section of each page > click on '(all)'.

On the Tasks index page, you can see all past and present tasks of the account, filter them according to the different attributes, and edit their status and details.

All members can access the Tasks index page, however the ability to perform actions depends on permissions.

Members authorized to mark tasks as 'Completed', edit / delete tasks, and revert status from 'Completed' to 'Open' are the creator of the task, the assignee, and the System Admins.

Remember, the key to effectively using tasks is to keep them updated and to check the task list regularly to ensure that all activities are on track.
