Choosing a Project and Work Plan
The first step in setting up a process is selecting the default project and work plan. The project you choose will determine where a new folder will be created when a batch is created, while the work plan will serve as the basis for your process.
To select a project and work plan, you can browse through the available options and make your selection. You can also choose to enable the “Allow project select” option, which will allow you to change the project while creating the batch.
Selecting an SOP as a Work Plan
In addition to selecting a project and work plan, you may also need to choose a specific SOP (standard operating procedure) to serve as the work plan for your process. This means that the activities outlined in the SOP will be the steps for your process. The system will automatically create a new folder for the batch based on the SOP you choose, and all the necessary protocols will already be included in that folder.
You can choose one SOP for the process and add more protocols to the list if needed. However, keep in mind that you cannot remove protocols that are part of the work plan. You can only remove protocols that were added after selecting the work plan.
Creating a Pool of Protocols
The process also allows you to generate a pool of process-specific protocols. By browsing through the list of protocols within the selected SOP, you can add more protocols to this pool. This gives you more options and allows you to customize your process even further.
When adding protocols to the pool, you will see the following parameters as columns of the protocol table: ID, owner, signature status, and duration. These parameters can help you organize and manage your list of protocols effectively.
Creating Automatic Reports for the Process
Once your process is set up, you may be interested in creating automatic reports for it. You can choose to enable this option in the “Process reports” section by selecting “Active” from the radio button options.
If you choose to enable automatic reports, you will be able to design a custom template for the report. This template will have a generic title, which you can edit to your liking. You can also set a naming convention for the reports, using parameters such as start date, process name, batch record name, owner, and project.
Customizing the Report Template
To create a custom report template, you can add text, spreadsheet, and protocol selection elements. You also have the option to choose which sections of the protocol will be copied to the report. This can help you create a comprehensive report that includes all the necessary information for your process.
Additionally, you can choose who will be the owner of the generated report. By default, it will be the owner of the batch record, but you can change it if needed.
We hope this guide has given you a better understanding of the protocol status options and how to effectively use them in your processes. With these options, you can customize and manage your processes to fit your specific needs.
